Webcast Production Manager

To manage our event services team, managing logistics, escalations, production and customer experience for each webcast.

Responsibilities

  • Manage the delivery of approximately 2,700 webcasts during year
  • Manage team of 8-12 Webcast Producers (team works various shifts)
  • Responsible for maintaining work load balance for all assigned event producers
  • Monitor staffing needs and drive resourcing within team for proper coverage levels.
  • Determine and implement processes and procedures streamlining Producer activities – leading to best-in-class webcasting solutions
  • Drive development of Producer operating procedures in coordination with client activity
  • Work with the Director of Program Services to proactively manage internal, external issues that might affect the effectiveness of the team
  • Primary production contact with client
  • Assign appropriate resources as needed
  • Ensure adherence by the team to procedures and policies
  • Provide top-line webcasting experiences and services
  • Develop and maintain a knowledge of industry resources to improve process and maximize the effectiveness of organizational tools available to the team
  • Engage in activities that develop an increasing level of esprit de corps amongst the webcasting team
  • Responsible for assisting with candidate interviews and training of new staff as well as on-going training for the existing team as deemed necessary
  • Produce and moderate live webcasts when necessary to balance the work load as well as maintaining experiential knowledge of the environment the team is working within
  • Authorize and manage overtime for team based on Ops deadlines and within budget allowances and work towards reducing overtime across team
  • Review and authorize vacation, personal requests for days off based on needs of schedule.
  • Check team hours, ensuring they are submitting their vacation/sick leave, etc, and tracking overall adherence to company policy re: same
  • Develop a knowledge base of both client and Worktank policy in order to manage the group in accordance with those documents
  • Escalate HR issues, both client and group based, to the Director of Program Services when necessary
  • Work to understand and drive pricing and scope requirements as needed within agency to ensure deliverable targets are met
  • Manage staff utilization to ensure that productivity targets are met
  • Make hiring, disciplinary and termination recommendations based on agency policies
  • Participate in and manage other activities that may be assigned as needed

Requirements

  • You have 3+ years experience managing teams (managing remote employees a plus)
  • You are familiar with how resourcing works within an advertising agency model
  • You are devoted to giving great customer service
  • You have the ability to remain calm and “think on your feet” in a crisis
  • Strong communication skills (both written and oral)
  • You are an outgoing, confident individual who projects a personable intelligence
  • You understand the basics in Outlook and Microsoft Office applications: Creating a schedule request, sorting and filing emails and setting alerts, sorting data in Excel and cutting and pasting data to/from cells, altering data in PowerPoint
  • You are a creative thinker who comes up with outside-the-box ideas for problem solving
  • You have a proven ability to multi-task
  • You have a love for technology with a passion for learning and adapting to new technology/software
  • You possess a dedicated sense of responsibility
  • You have a really good eye for detail and catch the little things that others often miss
  • You may have some experience with public speaking (or are at least comfortable talking to large groups of people) since event production may consist of you being the on-air moderator/broadcast host (as needed)
  • You work well with minimal supervision
  • Must be able to use a computer
  • Must be able to sit for extended periods of time
